The emergency department manager(EDM) oversees and coordinates the daily operation of the emergency support staff under the direct guidance and supervision of the Practice Manager and the Medical Director and is critical to the success of Fetch and its team members.

The EDM is also responsible for creating an environment of teamwork in which quality medicine is delivered. In partnership with the Practice Manager and the Fetch Leadership team, the EDM is responsible for directing the emergency staff and the overall management of the emergency services, under the direction of the Fetch administration team and medical director.

Essential Functions:

  • Oversees emergency/critical cases in support of the technicians and the DVMs, ensuring positive outcomes, accurate estimates, and client communication and education.
  • Answers client questions and concerns regarding services and treatment plans for patients.
  • Provides oversight and direction & implementation of emergency policies & protocols.
  • Oversees the transfer of medical cases from the emergency/critical care department to the specialists.
  • Acts as a change agent to revised, changed, or modified policies, procedures, and client service programs within the hospital.
  • Ensures accuracy of client invoice charges (incl. in-patient and out-patient) & medical record entries in conjunction with the medical biller.
  • Monitor hospital inventory usage with respect to appropriate invoicing.
  • Ensures compliance with controlled drug regulations and standards.

Leading Staff and Practice

  • Serves as the liaison between Fetch Leadership, Emergency teams, and Specialty teams
  • Participates in the recruiting and interviewing process for emergency staff, and when appropriate other team members to include technicians and assistants.
  • Completes monthly or quarterly schedule for ER staff members
  • Ensures ER staff PTO requests are noted properly for coverage and staffing purposes.
  • Monitors ER staff performance and production in conjunction with the practice manager.
  • Helps develop and monitor hospital-specific client compliance protocols and procedures.
  • Participates in ER staff training, performance evaluations, conflict resolution, and mentorship
  • Track and maintain ER staff training records in conjunction with the technician trainer and the other leadership teams.

Supervisory Responsibility

This position supervises emergency support staff.

Work Environment

This job operates in a veterinary hospital setting. Normal vocation environment risks associated in this setting as related to the operation of industry-specific equipment, treatment of and exposure to clientele, and health hazards related to disease and specialty care.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

This position will require at least 8 hours of walking/standing/crouching/bending, lifting/ pushing/pulling between 1-50lbs, and sedentary work.

Position Type/Expected Hours of Work

This is a full-time position—introductory period of 2 months (60 days). Evening, weekend, and holiday work will be required as job duties demand, as well as availability by phone and/or email for emergency-related questions, concerns, emergencies, and staff inquiries.

Required Education and Experience

  • Associate’s Degree or higher in a related field. CVT preferred
  • 3 years or more of Management and/or Supervisory experience in veterinary emergency
    medicine

The Client Services Representative position will focus on the areas of client services, quality assurance, and service excellence. This position assists and coordinates a variety of service functions that are related to the front desk operations and the healthcare team at Fetch Specialty & Cancer Veterinary Centers.

Essential Functions

  • Greet visitors, answer telephones, and guide clients and their pets to exam rooms
  • Scheduling initial consultations and processing new client paperwork
  • Explain exam fees
  • Field high volume calls on a multi-line phone system
  • Ensures adherence to quality standards, deadlines, and proper procedures, correcting errors or problems as needed
  • Facilitates the efficient flow of the hospital by directing clients to the appropriate team member
  • Address all client and rDVM concerns in a timely manner
  • Maintain and coordinate rDVM contact information as needed to ensure proper communication with our referring partners
  • Provide exceptional quality of client services delivered throughout the hospital
  • Maintain cleanliness and organization of the front desk and lobby of Fetch

Skills and Knowledge

  • Ability to work well under pressure and able to handle multiple phone lines and calls
  • Possession of strong organization skills
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Excellent verbal and written communication skills as well as exceptional interpersonal communication skills
  • Knowledge of hospital procedures, of the spelling and meaning of commonly used terminology in veterinary medicine
