The Client Services Representative position will focus on the areas of client services, quality assurance, and service excellence. This position assists and coordinates a variety of service functions that are related to the front desk operations and the healthcare team at Fetch Specialty & Cancer Veterinary Centers.

Essential Functions

  • Greet visitors, answer telephones, and guide clients and their pets to exam rooms
  • Scheduling initial consultations and processing new client paperwork
  • Explain exam fees
  • Field high volume calls on a multi-line phone system
  • Ensures adherence to quality standards, deadlines, and proper procedures, correcting errors or problems as needed
  • Facilitates the efficient flow of the hospital by directing clients to the appropriate team member
  • Address all client and rDVM concerns in a timely manner
  • Maintain and coordinate rDVM contact information as needed to ensure proper communication with our referring partners
  • Provide exceptional quality of client services delivered throughout the hospital
  • Maintain cleanliness and organization of the front desk and lobby of Fetch

Skills and Knowledge

  • Ability to work well under pressure and able to handle multiple phone lines and calls
  • Possession of strong organization skills
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
  • Excellent verbal and written communication skills as well as exceptional interpersonal communication skills
  • Knowledge of hospital procedures, of the spelling and meaning of commonly used terminology in veterinary medicine
  • Requires strong client service skills and the ability to act with compassion, empathy, and diplomacy
  • Ability to work independently on assigned tasks as well as accept direction on given assignments
  • Knowledge of computers and relevant software applications including MAC-based systems to manage files, records, and other office procedures.

Work Environment

This job operates in a veterinary hospital setting. Normal vocation environment risks associated in this setting as related to the treatment of and exposure to clientele, and health hazards related to disease and specialty care.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands

This position will require at least 10 hours of walking/standing/crouching/bending/lifting/ pushing/pulling between 1-50lbs, and sedentary work/sitting for long periods of time.

Position Type/Expected Hours of Work

This is a full-time position with a varying schedule of 35-40 hours per workweek.

Summary of Primary Job Responsibilities, Skills and Knowledge
The Assistant Practice Manager assists the Practice Manager in the daily function of the hospital’s operations and assumes managerial responsibility of the hospital’s operations in the absence of the Practice Manager.

  1. Effectively uses all available resources to provide the best possible care to the pets in our care.
  2. Understands the balance between administrative and hospital functions in the veterinary health care team.
  3. Clearly communicates and supports the mission, vision and values of Fetch.
  4. Is proactive in communicating and achieving the goals of Fetch to the team.
  5. Directly assists in the management and engagement of the veterinary team to ensure an inclusive, positive and collaborative culture.
  6. Strong communication, leadership and motivational skills. Ability to direct, guide and assist team members to include effectively solving concerns in regards to personnel conflicts and performance.
  7. Ensures compliance with regulatory agencies and laws. This includes but is not limited to: OSHA, DEA, ADA, and EEOC. Help develop and maintain procedures necessary to meet requirements.
  8. Coordinate with Marketing & Outreach coordinator as well as the Practice Manager in creating new programs and events to increase rapport with clients and referring DVMs to ensure an overall high level of client satisfaction with the hospital and services we provide.
  9. Requires the ability in problem solving and decision making with autonomy.
  10. Has a thorough working knowledge of veterinary terminology, principles and standards.
